This Privacy Policy explains what information On Pulse may collect, why we collect it, how it may be used, and the choices available to you.
It applies when you visit the On Pulse website, create an account, use the platform, contact us or interact with services provided through On Pulse.
1. Who this policy applies to
This policy applies to:
- businesses, venues, entertainers, event operators, promoters and organisations using On Pulse;
- employees, contractors, team members and authorised users of an On Pulse account;
- customers, members, guests, attendees or audience contacts whose information is managed through the platform; and
- people who visit our website or contact us.
References to “On Pulse”, “we”, “us” or “our” mean the provider of the On Pulse platform.
2. Information we may collect
The information we collect depends on how you interact with On Pulse.
It may include:
- your name, business name and contact details;
- your email address and telephone number;
- account login and profile information;
- billing and subscription details;
- communications you send to us;
- support requests and account activity;
- technical information about your browser, device, operating system or internet connection;
- website usage and platform activity;
- information supplied through integrations or connected services; and
- any other information you choose to provide.
We generally do not store complete payment card details. Payments may be processed by third-party payment providers that handle payment information under their own privacy and security practices.
3. Information uploaded by On Pulse customers
Businesses and organisations using On Pulse may upload or manage information about their own customers, members, guests, attendees, performers, contacts or audiences.
This information may include:
- names and contact details;
- membership or loyalty information;
- digital wallet card details;
- attendance, redemption or participation information;
- preferences or customer notes;
- promotional consent records;
- transaction or account reference information; and
- other information required to provide a program, promotion, membership, offer or service.
The On Pulse customer that collects or uploads this information is responsible for ensuring it has a lawful reason to do so and has provided any privacy notices or obtained any consents required by law.
When we process this information on behalf of an On Pulse customer, we generally act as a service provider supporting that customer’s use of the platform.
4. Sensitive and adult-industry information
On Pulse may be used by lawful adult-oriented businesses, venues, entertainers and event operators.
We do not require customers to upload unnecessary sensitive information, and we encourage all users to collect only the information reasonably needed for their activities.
You must not upload unlawful, exploitative or non-consensual material, information involving minors in an adult or sexual context, or sensitive information that you do not have a lawful right to collect or use.
Where sensitive information is collected, the account holder is responsible for obtaining any consent required by applicable law and applying appropriate safeguards.
5. How we collect information
We may collect information:
- directly from you when you create an account, subscribe, contact us or use the platform;
- automatically through cookies, analytics tools, logs and similar technologies;
- from your employees, contractors or authorised users;
- through services or platforms you connect to On Pulse;
- from payment, messaging, digital wallet or automation providers;
- from publicly available sources where lawful; and
- from referral partners or other people who introduce you to us.
6. How we use information

- create, operate and manage accounts;
- provide digital wallet cards and related platform features;
- process subscriptions and payments;
- provide support and respond to enquiries;

- prevent fraud, misuse, security threats and unlawful activity;

We will not use information for purposes that are unrelated to providing, protecting or improving On Pulse unless we have a lawful reason to do so.

These messages are necessary for operating your account and may continue while your account remains active.

Unsubscribing from marketing will not prevent us from sending essential account or service communications.

- another business involved in a sale, restructure, merger or transfer of all or part of our business.

10. International and overseas processing
On Pulse may use service providers, hosting infrastructure or technology systems located outside Australia.
As a result, information may be stored or processed in other countries.
Privacy laws in those countries may differ from Australian privacy laws.
Where reasonably practical, we select reputable providers and take appropriate steps to protect information handled on our behalf.
By using On Pulse, you acknowledge that information may be transferred to or processed in countries outside your own.

These steps may include:

- secure hosting and transmission methods;
- account authentication;

- software maintenance and security updates; and
- limiting access to people and providers who reasonably need it.
However, no internet-based system can be guaranteed to be completely secure.
You are responsible for keeping your password and account access details confidential and for promptly notifying us if you suspect unauthorised access.
12. Data breaches
If we become aware of a data breach affecting personal information, we will investigate and take reasonable steps to limit harm.
Where required by applicable law, we will notify affected people and relevant regulatory authorities.
If a breach relates to information controlled by an On Pulse customer, we may work with that customer to investigate and respond appropriately.
13. How long we keep information
We keep information only for as long as reasonably required to:
- provide the platform and maintain active accounts;
- complete transactions and resolve disputes;
- meet tax, accounting, legal and regulatory obligations;
- maintain security and prevent fraud;
- enforce agreements; and
- support legitimate business records.
Retention periods may vary depending on the type of information and the reason it was collected.
When information is no longer reasonably required, we may delete it, de-identify it or securely retain it where required by law.
14. Closing an account
If an On Pulse account is cancelled or closed, access to account information and platform features may end.
Some information may remain in backups, transaction records, security logs or legal records for a reasonable period after cancellation.
Account holders should export or retain their own important records before cancelling wherever practical.

15. Accessing or correcting your information
You may ask us to provide access to personal information we hold about you or to correct information that is inaccurate, incomplete or out of date.
We may need to confirm your identity before responding.
In some circumstances, the law may allow or require us to refuse access. If this occurs, we will explain the reason where we are permitted to do so.
If your information was collected by a business using On Pulse, you should usually contact that business directly first because it controls the relevant customer relationship and information.
16. Deleting information
You may ask us to delete personal information where applicable.
We may not be able to delete information immediately where it must be retained for legal, accounting, fraud-prevention, dispute-resolution or security purposes.
Deleting certain information may affect our ability to provide your account or services.
If the information is controlled by an On Pulse customer, we may direct your request to that customer or assist them in responding.
17. Privacy rights outside Australia
If you are located outside Australia, you may have additional privacy rights under the laws that apply in your country or region.
Depending on those laws, these rights may include:
- accessing personal information;
- correcting inaccurate information;
- requesting deletion;
- restricting or objecting to certain processing;
- withdrawing consent;
- requesting a portable copy of information; and
- making a complaint to a privacy regulator.
These rights are subject to any legal limitations or exceptions that apply.
18. Children and minors
On Pulse is intended for businesses and adult users and is not designed for children.
You must not knowingly use On Pulse to collect information from children without a lawful reason and any consent required from a parent or guardian.
On Pulse must never be used to upload, promote or distribute adult or sexual content involving anyone under 18 years of age.
If you believe information involving a minor has been uploaded unlawfully, please contact us promptly.
19. Artificial intelligence and automated processing
Some current or future On Pulse features may use artificial intelligence or automated systems to support functions such as content generation, analysis, personalisation, fraud prevention, support or platform improvement.
Information may be processed by these systems where reasonably necessary to provide the relevant feature.
AI-generated or automated results may not always be complete or accurate and should be reviewed before being relied upon.
We will not intentionally use customer-uploaded information to train publicly available artificial intelligence models unless we clearly disclose this and have a lawful basis to do so.
20. Third-party links and services
The On Pulse website or platform may contain links to websites, platforms or services operated by other organisations.
We are not responsible for the privacy practices, security or content of third-party services.
You should review their privacy policies before providing personal information.
21. Changes to this Privacy Policy
We may update this Privacy Policy when our platform, technology, providers, business practices or legal obligations change.
The latest version will be published through the platform or on the On Pulse website.
If a change materially affects how we handle personal information, we will take reasonable steps to provide notice.

If anything in this Privacy Policy is unclear, we would much rather you ask than guess.
